These Terms and Conditions (“Terms”) govern your use of the CompliDocs website at complidocs.co.uk and any associated services, software, or documents (together, the “Service”) provided by CompliDocs (“CompliDocs”, “we”, “us”, or “our”).

By accessing or using our Service, you agree to be bound by these Terms. If you do not agree to these Terms, you must not use the Service. These Terms apply to all users of the Service, including both registered account holders and visitors.

1. Service Description and Scope

1.1 CompliDocs provides an online platform that enables users to generate health and safety document templates (including risk assessments, COSHH assessments, fire risk assessment templates, and method statements) tailored to specific UK business types.

1.2 The Service is available on a pay-per-document basis or via recurring subscription. Document types, pricing, and subscription plans available at any given time are as set out on our pricing page.

1.3 The Service is intended for use by businesses and individuals based in the United Kingdom. While we do not restrict access from other jurisdictions, our templates are written with reference to UK law and HSE guidance and may not be appropriate for use in other legal systems.

1.4 We reserve the right to modify, suspend, or discontinue any part of the Service at any time. We will endeavour to provide reasonable notice of material changes where practicable.

Nature of Purchase — Business Use Only

CompliDocs provides health and safety documentation services exclusively for businesses, sole traders, and organisations. By purchasing from CompliDocs you confirm that you are doing so in the course of a business, trade or profession and not as a private consumer.

Accordingly, the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 do not apply to purchases made through this platform, as those protections are limited to consumers acting outside their trade or business.

To the extent that any residual consumer protection may apply in exceptional circumstances, you expressly request that digital content be supplied immediately upon payment and acknowledge that any applicable cancellation rights are waived upon download or access of the document.

CompliDocs reserves the right to decline a refund where a document has been downloaded and used. Refunds are considered on a case-by-case basis at the sole discretion of CompliDocs where a document fails to meet a reasonable standard due to an error on our part.

Customer Document Sharing

Where a portal user uploads their own health and safety documents and consents to anonymous sharing, CompliDocs may use those documents — with all business-identifying information removed and following admin verification — to improve the accuracy and quality of guidance provided to other businesses using the platform.

No business name, employee names, or identifying details will be shared or published. Users may withdraw this consent at any time by contacting hello@complidocs.co.uk, after which their document will be removed from the shared pool.

2. Document Disclaimer

PLEASE READ THIS SECTION CAREFULLY BEFORE USING ANY DOCUMENT PRODUCED BY COMPLIDOCS.

2.1 CompliDocs documents are starting-point templates only. They are not professional health and safety advice, and no adviser-client relationship is created between you and CompliDocs by your use of the Service.

2.2 All documents produced through the Service must be reviewed by a competent person — as defined by the Management of Health and Safety at Work Regulations 1999 — who has sufficient training and experience to understand the hazards and risks present in your specific workplace. The document must be amended as necessary to reflect your actual workplace conditions before it is brought into use.

2.3 Health and safety law places duties directly on employers and the self-employed under the Health and Safety at Work etc. Act 1974 (applicable in England, Scotland, and Wales) and the Health and Safety at Work (Northern Ireland) Order 1978 (applicable in Northern Ireland). Compliance with those duties is the responsibility of the duty holder. A CompliDocs document does not, of itself, make you legally compliant. It provides a structured starting point that must be verified, adapted, and signed off by a person with the appropriate competence.

2.4 CompliDocs is not registered with IOSH, IIRSM, or any professional health and safety body. We are a software company providing document generation tools. If you require professional health and safety consultancy, you should appoint a competent consultant independently.

2.5 We do not warrant that any document produced through the Service will satisfy the requirements of any HSE inspector, local authority, insurer, or other third party. Document adequacy depends on how the template is adapted to your specific circumstances by a competent person.

2.6 Some documents produced through the Service are generated with the assistance of artificial intelligence (Anthropic Claude API). AI-generated content is based on the inputs you provide and pre-defined templates reviewed against current UK HSE guidance. AI assistance does not replace the judgment of a competent person, and the legal duty to ensure documents are accurate, site-specific, and compliant rests with you as the employer or duty holder under the legislation described in clause 2.3.

3. Account Registration and Security

3.1 To access subscription services and document history features, you must register for an account. You agree to provide accurate, current, and complete information during registration.

3.2 You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately at hello@complidocs.co.uk if you suspect any unauthorised use of your account.

3.3 You must not share your account with others unless you are subscribed to a Business plan that expressly permits multiple user seats.

4. Payment Terms and Subscriptions

4.1 Payments for pay-per-document purchases and subscriptions are processed securely via Stripe. Prices are stated in pounds sterling (GBP) and are inclusive of UK VAT where applicable.

4.2 Subscription fees are charged in advance on a monthly basis. The subscription renews automatically at the end of each billing period unless cancelled in accordance with clause 4.4.

4.3 You authorise CompliDocs to charge your payment method on a recurring basis for the applicable subscription fee. If a payment fails, we reserve the right to suspend or terminate your access to subscription features until payment is received.

4.4 Cancellation. You may cancel your subscription at any time via your account settings (Settings › Billing) or by emailing support@complidocs.co.uk. Cancellation takes effect at the end of your current billing period; you will retain full access to the Service until that date. No pro-rata refunds are issued for unused days within a billing period, except as set out in clause 5.

4.5 We reserve the right to change our prices at any time. Where a price increase affects your subscription, we will provide at least 30 days' written notice (by email to the address registered on your account) before the change takes effect. Your continued use of the subscription after the notice period constitutes acceptance of the new price. If you do not accept the new price, you may cancel in accordance with clause 4.4.

4.6 All prices on the website are subject to change and the price that applies to any transaction is the price displayed at the time of purchase.

5. Refund Policy

5.1 Pay-per-document purchases. Pay-per-document fees are non-refundable once a document has been generated and made available for download. Where a document fails to generate successfully due to a technical error on our part, we will re-generate the document at no additional cost or, at your election, issue a full refund. To report a generation failure, email support@complidocs.co.uk with your order reference.

5.2 Subscriptions — goodwill cancellation period. If you cancel your subscription within 14 days of your first subscription payment and have not generated any documents during that period, we will issue a full refund of that payment on request. Contact billing@complidocs.co.uk to request a refund under this clause.

5.3 Subscriptions — after the goodwill period. Monthly subscription payments are non-refundable after the 14-day goodwill period. Cancellation takes effect at the end of the current paid billing period as described in clause 4.4.

5.4 CompliDocs material breach. If CompliDocs commits a material breach of these Terms that it fails to remedy within 14 days of written notice from you, you may cancel with immediate effect and claim a pro-rata refund of fees paid for the unused portion of your billing period. Contact billing@complidocs.co.uk to raise a breach claim.

5.5 All refunds are returned to the original payment method. Processing times are subject to your bank or card provider's timescales.

6. Intellectual Property

6.1 The CompliDocs website, platform, software, branding, and all template content — including the wording, structure, hazard data, control measures, and associated materials in all templates — are the intellectual property of CompliDocs. All such content is protected by copyright and other intellectual property laws of England and Wales.

6.2 By generating a document through the Service, you are granted a non-exclusive, non-transferable licence to use the completed document for internal business purposes within your organisation. This licence does not permit you to:

  • Resell or sublicence the templates or completed documents to third parties;
  • Use the documents for a business other than the one for which they were generated;
  • Reproduce or distribute the underlying template structure or content in bulk;
  • Represent CompliDocs-generated documents as work you have produced independently.

6.3 Health and safety consultants and compliance professionals who wish to generate documents on behalf of clients should contact us at hello@complidocs.co.uk to discuss our Business plan, which includes consultant use rights.

6.4 You retain full ownership of any business information, document content, and other data you provide to us (“Customer Data”). By submitting Customer Data to the Service, you grant CompliDocs a limited, non-exclusive licence to host, process, and use that data solely to generate and deliver your documents and to operate the Service. We may use aggregated, fully de-identified Customer Data (from which no individual or business can reasonably be identified) for service improvement and analytics. We will not use Customer Data to train any third-party artificial intelligence or machine learning model, nor share identifiable Customer Data with any third party for that purpose.

7. Limitation of Liability

7.1 To the fullest extent permitted by applicable law, CompliDocs and its officers, employees, contractors, and agents shall not be liable for any:

  • loss or damage arising from your use or reliance on a CompliDocs document without adequate competent person review and sign-off;
  • enforcement action, prosecution, fine, or penalty imposed by the HSE, a local authority, a court, or any other regulatory or enforcement body;
  • workplace accident, injury, illness, or death arising from inadequate health and safety management;
  • loss of business, revenue, profit, or reputation;
  • indirect, incidental, consequential, or special loss of any kind.

7.2 Our total aggregate liability to you under or in connection with these Terms and the Service — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — shall in no event exceed the greater of: (a) 125% of the total fees paid by you to CompliDocs in the twelve months immediately preceding the event giving rise to the claim; or (b) £200.

7.3 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.

7.4 If you are a consumer (as defined in the Consumer Rights Act 2015), nothing in these Terms affects your statutory rights.

8. Acceptable Use

8.1 You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not use the Service:

  • In any way that violates applicable UK or international laws or regulations;
  • To generate fraudulent, misleading, or falsified health and safety documents;
  • To circumvent or attempt to circumvent any access controls, payment systems, or security features of the platform;
  • To scrape, copy, or harvest content or data from our platform in bulk using automated means;
  • To transmit any unsolicited commercial communications to other users or CompliDocs staff.

8.2 We reserve the right to terminate or suspend your account immediately if we reasonably believe you have breached this clause.

9. Privacy and Data Protection

9.1 Our processing of your personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference.

9.2 By using the Service, you consent to the processing of your personal data in accordance with our Privacy Policy.

10. Changes to These Terms

10.1 We may update these Terms from time to time. When we make material changes, we will notify you by email and/or by displaying a prominent notice on the website. The date at the top of these Terms will be updated accordingly.

10.2 Your continued use of the Service after the effective date of updated Terms constitutes acceptance of the changes. If you do not agree to the updated Terms, you must stop using the Service and, if applicable, cancel your subscription in accordance with clause 4.4.

11. Third-Party Services and Links

11.1 The Service integrates with Stripe for payment processing and Supabase for data storage. Your use of these third-party services is subject to their respective terms and privacy policies.

11.2 The website may contain links to external websites, including the HSE website (hse.gov.uk). We are not responsible for the content or availability of any external sites.

12. Governing Law and Jurisdiction

12.1 These Terms and any dispute or claim arising out of or in connection with them or their subject matter (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales.

12.2 Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with these Terms.

12.3 If you are a consumer resident in Scotland, Northern Ireland, or another part of the United Kingdom, you may also be entitled to bring proceedings in the courts of the jurisdiction in which you reside.

13. General

13.1 Severability. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

13.2 Entire agreement. These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and CompliDocs with respect to your use of the Service and supersede all prior agreements, representations, and understandings.

13.3 No waiver. Our failure to enforce any provision of these Terms shall not constitute a waiver of our right to enforce that provision in future.
